What it fixes
Four ways painting contractors lose jobs, closed.
Estimates go to the fastest reply
Homeowners ask several painters. Replying first, even by text, wins most jobs.
Quotes sit undecided
Painting is easy to put off. Polite nudges keep your estimate on the table and stop when they book.
Weather moves the schedule
Confirmations and reminders make it simple to keep customers informed when rain moves an exterior job.
Reviews sell the next job
Recent reviews from happy homeowners are your best sales tool. Ask after every job, automatically.
The free kit
Everything you need, written out.
Copy what you need from this page, or download the whole kit as a text file. It is free, with no email and no sign-up. You build it inside HighLevel by following the steps; it takes about two hours in one sitting, including a test with your own phone.
Merge fields like {{contact.first_name}} and {{location.name}} fill in automatically inside HighLevel. Replace anything in [square brackets] with your own details.
1. The pipeline
Create one pipeline with these stages, in this order. Every job moves left to right.
- New lead: Every missed call and form lands here.
- Contacted: You have spoken to them.
- Estimate visit booked: On the calendar.
- Estimate sent: The follow-up automation starts here.
- Job scheduled: They said yes. Mark the opportunity Won.
- Job complete: Starts the review request and the six-month check-in.
2. The quote request form
Build this form in HighLevel and put it on your website. Fewer fields means more requests, so every field here earns its place.
- Full name
- Mobile phone
- Property address
- Interior, exterior or both?
- What needs painting? (rooms, walls, trim, cabinets, siding, deck or fence)
- Rough size (one room, several rooms, whole house)
- When would you like it done?
- Photos (optional file upload)
- Consent checkbox: “I agree to receive texts from [your business] about my request. Reply STOP to opt out.”
3. Six automations
Each one is a HighLevel workflow. The trigger and step names below are the ones HighLevel shows in its workflow builder, so you can find each one by name.
Missed-call text back
Most callers who reach voicemail ring the next painter on the list. A text inside a minute keeps the job yours until you can call back.
Trigger
Call Details (HighLevel’s call trigger). Add two filters: Call direction is Incoming, and Call status is no-answer or voicemail.
Steps
- Send SMS: the text below.
- Create/update opportunity: your pipeline, stage New lead.
- Send internal notification: to you or whoever is on call.
Message
Sorry we missed your call! This is {{location.name}}. Is it an interior or exterior paint job? Text back and we’ll call you shortly to set up an estimate. Reply STOP to opt out. Older HighLevel guides call this trigger Call Status.
New quote request: answer in seconds
The first business to reply usually gets the job. This answers every form at once, day or night, and tells you who to call.
Trigger
Form Submitted. Filter: your quote request form.
Steps
- Create/update opportunity: your pipeline, stage New lead.
- Send SMS: the text below.
- Send email: the email below.
- Send internal notification: the alert below.
- Add task: “Call back within 5 minutes”, assigned to whoever takes new leads.

Hi {{contact.first_name}},
Thanks for reaching out to {{location.name}}. Your request is in, and we’ll call you shortly to book your estimate.
Photos of the rooms or the outside of the house help us give you an accurate estimate, so feel free to reply with a few.
Talk soon,
{{location.name}} New painting lead: {{contact.name}}, {{contact.phone}}. Call within 5 minutes. Estimate sent follow-up
Most quotes are not a “no”, they are a “not yet”. Three polite nudges over ten days win back jobs that would otherwise go quiet, and they stop the moment the customer says yes.

Steps
- Wait: 2 hours.
- Send review request: HighLevel’s built-in review request (set your Google review link under Reputation first).

Hi {{contact.first_name}}, it’s {{location.name}}. How is the paint holding up? If another room or the outside is on your list, we’re booking now. Reply YES and we’ll call you. Subject: How is your paint holding up?
Hi {{contact.first_name}},
It’s been about six months since we painted for you. If you’ve spotted anything that needs a touch-up, or you’re thinking about the next room or the outside of the house, reply here and we’ll set up a visit.
{{location.name}} 4. Set it up in this order
- Start your 14-day HighLevel trial and set up the account for your business.
- Settings → Phone Numbers: get a local number and forward your business line to it (or publish the new number). If you text US customers, start A2P 10DLC registration the same day.
- Settings: connect your email sending and add your business name, address and logo.
- Opportunities → Pipelines: create the pipeline with the stages above, in that order.
- Sites → Forms: build the quote request form with the fields above, then put it on your website.
- Calendars: create a calendar called “Estimate visit” with your real working hours.
- Reputation: add your Google review link so the review request has somewhere to send people.
- Automation → Workflows → Create workflow: build the six workflows above, one at a time, and paste in the messages.
- Test it: call your own number and let it ring out, fill in your own form, book yourself an appointment, and move a test opportunity through the stages. Check every text and email reaches your phone and inbox.
- Turn each workflow on (Publish) only after its test passes.
- Exterior season: tag exterior estimates (for example “exterior”) so you can text them all when your spring schedule opens.
Before you switch on texts: Texting customers needs their consent. In the US, HighLevel requires your number to be registered for business texting (A2P 10DLC) before texts go out; registration has its own fee and approval time, so start it on day one.

Questions
Good questions, straight answers.
Is the kit really free?
Yes. Everything is on this page and in the download: no email, no sign-up, no catch. HighLevel itself is a paid product with a 14-day free trial; if you start that trial through my link I may earn a commission, and the kit is the same either way.
Can I import it in one click?
Not yet. You build it by following the steps, which takes about two hours in one sitting, including a test with your own phone. The upside is that you will know exactly what every automation does before you switch it on.

Do I need HighLevel to use this painting kit?
The setup steps are written for HighLevel, step by step. The pipeline, the form and every message work in most CRMs, so you can still use the copy elsewhere.
Can it help with weather delays?
Yes. Tag each week’s exterior jobs so you can send them all one text when rain moves the schedule, instead of calling every customer.
